Payroll and Benefits Administrator

FT/PT Status:Regular Full Time
  

Job Responsibilities:

Essential Job Duties:  RC will gladly provide a reasonable accommodation to assist Payroll and Benefits Administrators performing these essential job functions so long as it does not create an undue burden.


Job Qualifications:

Payroll

  • Process payroll in a timely manner each week
  • Export pay stubs at the end of payroll each week
  • Setup all New Hires
    • Enter all Tax Withholding Forms, Direct Deposit Info, Worker’s Comp Codes, Certified Class, Fringes, Vacation / PTO Accrual limits, and Pay Raise Dates
  • Review/manage/make corrections/allocate time in TimeKeeping Software daily
  • Enter/Track all PTO/Vacation requests/balances
    • Maintain PTO Status spreadsheet weekly
  • Export/Import all changes between HRIS and Payroll
    • New Hires, Terminations, Job, and Pay Status changes
  • Track/verify/calculate/enter/pay all PTO using spreadsheet in Smartsheet
  • Manually enter/file/ all time sheets each week and check for proper approvals and signatures
    • Request missing time sheets weekly
  • Manage Time Clock Open Daily and distribute time sheets weekly
  • Complete/distribute/file absentee reports for hourly employees weekly
  • Track and distribute all payroll fringes
  • Set up all Wage Determination Rates by job in payroll and verify that all hourly employees are paid the correct wage rates each week for certified wage classifications
  • Maintain Employee Deadline Violation log
    • Issue Employee Strikes when necessary
  • Calculate Termination payroll deductions
  • Work with PM’s Weekly to ensure time is coded correctly
  • Make necessary corrections to payroll when problems occur

    Benefits Administrator

  • Manage benefits administration process for new and existing employees from initial enrollment through termination, and maintain employee benefit records and procedures
  • Answer employee questions regarding benefits
  • Work with VP of Administration to perform benefit plan audits and recommend cost reduction and containment strategies
  • Serve as the primary contact for vendors and third-party administrators
  • Research, design, recommend and implement benefit plans that present the best value
  • Provide internal communications for company-wide memos
  • Conduct monthly premium reconciliations
  • Coordinate new hire benefit orientation, benefits open enrollment, and companywide meetings with Employee Engagement Administrator
  • Process employee transfers
  • Must follow strict company regulations and local, state, and federal privacy laws
  • Enroll eligible employees into their selected benefits
  • Maintain benefits on multiple online portals
  • Work with agent on shopping market place to select/renewal of benefits
  • Coordinate all aspects of open enrollment
  • Manage Cobra Compliance
  • Garnishments
    • Process medical support orders
    • Termination of employment notification

Education and Other Requirements:

  • Bachelor’s degree or 3-5 years’ experience
  • Knowledge of multi-site payroll, wage withholding orders and garnishments, certified payrolls, and Davis Bacon Act preferred
  • Knowledge of Sage 300, Arcoro, or other HRIS and Payroll Software
  • Human resources/employee benefits or a similar field of experience is required
  • Familiarity with construction accounting a plus
  • Proficient with Microsoft Office, cloud-based systems, and Adobe
  • Excellent client service skills
  • Excellent communication skills
  • Excellent organization skills
  • Ability to work in both a team-oriented environment and independently in a time sensitive environment.
  • Must possess sound decision-making skills and be able to multitask while working within specific deadlines.


Physical Demands

Physical Demands:

  • Must be able to sit for long periods of time
  • Ability to frequently repeat the same movements with arms, hands, wrist, and fingers. (Use fine manipulation, frequent to constant traditional keyboarding)
  • Use fingers to grasp, move, or assemble small objects
  • Ability to seldomly lift < 50lbs
  • Ability to reach overhead, at or below the shoulder.
  • Ability to see details of objects that are less than a few feet away
  • Understand the speech of another person
  • Speak clearly so listeners can understand
  • Ability to focus on one source of sound and ignore others

Work Environment:

  • Employee is regularly working indoors, in an office setting
  • Employee is regularly exposed to moderate noise levels
  • Employee is expected to work in a safe and efficient manner while maintaining a clean work area
  • Employee is expected to travel to various jobsites, work in Southaven office and Greenwood office, as well as remotely
