Job Responsibilities:
Job Title: Accounts Payable I
Location: Greenwood, MS 
Job Type: Fulltime 
Work Schedule: Monday-Thursday 7:30am – 5:00 pm with a half hour allotted for lunch and Friday 8:00am-12:00pm
Performance Evaluated by: Director of Administration
Purpose: The role of the Accounts Payable I involves providing administrative and clerical support to the organization. Their role is to process, verify, and reconcile most invoices. This role also highlights the day-to-day management of all payment cycle activities in a timely and efficient manner.

ESSENTIAL JOB DUTIES: 
Organize and file invoices by due date from various locations such as: daily mail, email, and uploaded documents filed in project management software
Complete payments and controls expenses by receiving, processing, verifying, and reconciling invoices.
o Resolve purchase order, contract, invoice, or payment discrepancies and documentation.
o Match delivery tickets to invoices to verify receipt – obtain from the field if missing
o Enter invoices into the company invoice approval software system
o Select invoices for approval to pay; print checks
o Scan ETFs/checks and attach to invoices in accounting program
o Stuff/ mail checks
o Email ETF notification to vendors and file correspondence
o Issue manual checks
Maintain historical records electronically
Vendor Management 
o Address and respond to vendor inquiries
o Enter new vendor’s information into accounting program
o Obtain and file a copy of vendor’s W-9
o Complete credit applications if needed
o Assist in preparation of 1099 reporting for annual IRS filing 
Maintain accounting ledgers by verifying and posting account transactions.
Assist in reporting sales taxes by calculating requirements on paid invoices.
 

Job Qualifications:
  • 5 years’ experience as accounts payable clerk (or accounts receivable clerk)
  • Solid understanding of basic bookkeeping and accounts payable principles
  • Knowledge of: Sage 300 Accounting Software preferred
  • Proficiency in Microsoft Office applications (Word, Excel)
  • Proficient with Adobe and cloud-based systems
  • Excellent client service skills
  • Excellent communication skills both verbal and written
  • Ability to work in both a team-oriented environment and independently in a time sensitive environment
  • Must possess sound decision-making skills and be able to multitask while working within specific deadlines
Physical Demands

 

  • Must be able to sit for long periods of time
  • Ability to frequently repeat the same movements with arms, hands, wrist, and fingers. (Use fine manipulation, frequent to constant traditional keyboarding)
  • Use fingers to grasp, move, or assemble small objects
  • Ability to seldomly lift < 50lbs
  • Ability to reach overhead, at or below the shoulder
  • Ability to see details of objects that are less than a few feet away
  • Understand the speech of another person
  • Speak clearly so listeners can understand
  • Ability to focus on one source of sound and ignore others

WORK ENVIRONMENT:

  • Employee is regularly working indoors, in an office setting
  • Employee is regularly exposed to moderate noise levels
  • Employee is expected to work in a safe and efficient manner while maintaining a clean work area
