Job Responsibilities:

Job Title: Office & HR Administrative Assistant

Job Location: Greenwood, MS

Work Schedule: Monday – Thursday, 7:30 AM – 5 PM & Friday, 8:00am -12:00pm

Supervised by: HR Compliance Manager

PURPOSE:  Support the Shared Services Team, RC Owners, and managing the day to day functions of the Greenwood, MS office.

Essential Job Duties:  RC will gladly provide a reasonable accommodation to assist Office & HR Administrators in performing these essential job functions so long as it does not create an undue burden.

  • Welcome Visitors to RC Construction. Greet them with a positive and warm demeanor, whether in person or via telephone
  • Upon visitor’s arrival, direct them the scheduled meeting place (conference room or an office)
  • Instruct visitors (phone and in-person) on how to contact RC employees
  • Filter phone calls and distribute messages
  • Maintain a tidy and welcoming office atmosphere
  • Stock the office with general supplies, as directed and writing purchase orders for each
  • Receive and organize correspondence
  • Pickup and distribute mail as instructed
  • Create shipping labels and drop off packages if needed
  • Handle sensitive information with professionalism and confidentiality
  • Maintain quality service by following organizational standards
  • Run personal errands when necessary for RC Owners
  • Support the arrangement and logistics of meetings, including setup, lunch etc.
  • Manage schedule of office cleaning as needed
  • Schedule performance reviews
  • Schedule random drug screens
  • Send birthday and anniversary cards to employees
  • Order business cards
  • Maintain all aspects of employee files in multiple programs
  • Assist with tracking of acknowledgements of updated policies
  • Assist with various task

Job Qualifications:
  • 3 years’ experience preferred
  • Experienced administrative professional who is dependable and highly organized, maintains confidentiality, enthusiastic, and exudes a positive attitude
  • Technologically experienced individual with strong computer skills including familiarity with Microsoft Outlook, Word, and Excel; and Adobe pdf
  • Familiarity with e-mail programs and group messaging
  • Excellent organizational and record keeping skills with attention to detail
  • Strong oral and written communication skills
  • Self-Starter able to work independently
  • Strong time management skills
  • Adaptability
  • Ability to set priorities and managing workload independently
  • Insurance approved MVR to drive company vehicle
Physical Demands
  • Must be able to sit for long periods of time
  • Ability to frequently repeat the same movements with arms, hands, wrist, and fingers. (Use fine manipulation, frequent to constant traditional keyboarding)
  • Use fingers to grasp, move, or assemble small objects
  • Ability to seldomly lift < 50lbs
  • Ability to reach overhead, at or below the shoulder
  • Ability to see details of objects that are less than a few feet away
  • Understand the speech of another person
  • Speak clearly so listeners can understand
  • Ability to focus on one source of sound and ignore others
